Request a defined scope
Obtain written confirmation of product acceptance, assigned facilities, required handling, sales channels, and excluded work. Ask which claims apply to the proposed operation rather than to the provider’s network in general.
Record the open items
Keep a register of unresolved questions, requested documents, responsible contacts, and decision dates. Distinguish missing evidence from evidence of a problem. Do not mark an item complete because it was discussed without a documented answer.
Build a brief someone else can use
Write a one-page description of the products, order patterns, channels, destinations, and timing the provider would need to support. Attach a representative order file and list the questions that would rule a candidate out. Keep your must-haves separate from preferences. If a team member could not use the brief to explain what you need, simplify it before sending it to providers.
Record what is established
Keep the date and scope of the evidence beside the conclusion. Identify whether an answer applies to your products, the proposed facility, and the activities you intend to buy. List exclusions and unresolved points with the same care as confirmed capabilities. The record should show the limits of the research rather than imply an audit that has not taken place.
